A digital photo booth is simple for guests, but a little preparation makes the experience much more reliable. Use this checklist from the first planning conversation through to the final photo download.
Two to four weeks before
Define the event objective, choose instant or moderated publishing, confirm the screen and internet arrangements, create the event branding and decide who owns the setup. Draft the guest instructions and identify any privacy, safeguarding or sponsor requirements.
One week before
Build the event page, upload the artwork, select prompts and generate the QR code. Test the booth on multiple phones and complete at least one full submission. Check the live wall on the actual display resolution and confirm that the organiser account can remove or approve photographs.
The day before
Print QR signs and keep digital copies on the host’s phone. Charge all devices, pack HDMI adapters and extension leads, disable laptop sleep settings and save hotspot details. Brief the moderator and agree when the wall should be visible.
During venue setup
Test the venue connection in every important location. Position QR signs at natural stopping points and make sure none are hidden by flowers, menus or low lighting. Open the live wall in full-screen mode and submit a test photograph from the guest area.
During the event
Watch the first few guest journeys, adjust signage if people hesitate and announce one simple challenge. Keep an eye on the approval queue and screen connection. Do not wait until participation slows before reminding guests; use planned moments throughout the schedule.
After the event
Download the full-resolution archive, save it in at least two places and share the gallery according to the event privacy plan. Remove test images, respond to any deletion requests and record useful participation figures. Note what worked so the next event setup is even faster.
Plan the optional 20-second video step
Decide whether you want guests to be encouraged to take the optional video challenge after their photos. Test camera and microphone permissions on the venue network, keep challenges short and event-appropriate, and make sure guests know the video stays on their device unless they choose to share or download it.
